How to stop double bookings at your marriage hall

Two families, one date, one hall: how to run holds, deposits and a single calendar so it never happens to you.

Updated 2026-11-08 · 4 min read

A double-booked wedding is the worst call a hall owner can get. It usually does not come from carelessness; it comes from bookings living in several places: a diary, a phone, a manager’s memory. Here is how to close the gaps.

One calendar, one source of truth

Every enquiry, hold and confirmed booking should live in a single calendar that everyone who takes bookings can see. Use hall and slot together, such as lawn, evening, so two people cannot take the same hall and time.

Let the system say no

Do not rely on people checking. A good booking system refuses a second booking of the same hall and slot, even if two staff try at the same moment.

Use holds with an expiry

When a family visits and wants time to decide, place a hold that lapses automatically. The date is protected for a few days and then released, so nobody has to remember to clear it.

Tie a date to money

A date is firm when a deposit is received. Record deposits and instalments against the booking, and print a statement the family can keep. Agree your refund policy in writing before the date is taken.

Put it in a contract

A short contract with the date, hall, menu, price and amendments avoids arguments later. Changes should be recorded as amendments, not scribbled over.

Plan the day on one sheet

A function sheet that lists menu, decorators, staff and timings keeps your team and vendors working from the same page.

Checklist

  • One calendar for everyone
  • Hall plus slot as the unit of booking
  • Holds that expire by themselves
  • Deposits and instalments recorded per booking
  • A written contract and function sheet
